I personally always PM all players with their gamenumbers. Not really a strategy, but I have a standard PM in which I just change the gamenumber and password for each player/team.
Some organisers just send a PM with a link to the forum (and a standard password), so you can send the same PM to all players.

i write out one basic paragraph about how i'm happy they joined (whatever tourney) and that they have (however many hours) to join game. Then i have an excel spreadsheet up w/ game #'s and passwords and then i copy paste the paragraph in, and then type in the game #/pass...it really doesn't take too long....Though i'm still eagerly waiting for the day in which i can send as many pms as i want...(then i can run a fairly large tourney i've been planning in my head)
i firt make the games and then post the games and there unmbers in the fourm of my Tournament. So that people who have a great interest in the Tournament can get in there games. Then after 3 days i check the games to se who has entered and send the last remaining emails to the players

Yeah, I'm a fan of the spreadsheet paste option.
I have an introductory paragraph outlining what round, any news, etc. eg; It's Round 3, Pearl Harbour. New scores have been updated in the forum! Please join all your games promptly. Some games may have delays starting due to non-prem players, but most have agreed to give up an extra slot.

The names, game # and Password are simply a 3x4 grid from excel copied and pasted. Then I shift-select a name, ctrl+c, shift+tab twice, ctrl+v and click Submit. then I Alt-LeftArrow to go back to the same page, select the next name and repeat. Once I've done all 4 names, I paste in the next block of info, and repeat.
Recursion is a wonderful thing. If you can develop recursive patterns to follow when sending out pm's and make it an organised and straightforward process the task becomes manageable. 60 pm's for a reasonably large tournament takes me, I suppose 30 minutes. I generally have the TV on, cause that gives me something to watch in the 5-10 second gap between pm's.
Until mass messaging comes in, this is really the only way to improve the process. Make it as automatic as possible.
Hope that helps.
